Our product enables our Customers to plan, measure and analyze the success of their communication campaigns. And as much as our product is the backbone for our customer’s communications, as much are you the backbone of the effectiveness of our General Manager DACH and Senior VP Engineering and our whole company. Step into an exciting role and support Juliane (our General Manager DACH) and Nicola (our Senior VP Engineering) in organizing their working lives. You will help them juggle with a ton of meeting requests, triage the important ones from the nice-to-have ones, and you keep the overview over different time zones. Internal and external, virtual and in real life, short meetings or longer workshops - you make things run smoothly and you help Nicola and Juliane protect the focus times they need to continue working on our great company strategy. As you will have a lot of internal and external touch points with important stakeholders and a lot of Communicorns, too, you are serving as an important culture ambassador and builder aligned to our values of ‘We truly care’, ‘When you grow, we all grow’ and ‘We take ownership’. What you’ll be doing

  • Conserve executive’s time by reading and routing email and instant messages, initiating meetings, and if applicable, drafting letters and documents
  • Ensure the Senior VP Engineering and the General Manager DACH are prepared for upcoming meetings, presentations, and projects by ensuring appropriate documents are circulated in advance
  • Make yourself a name as a wizard of time management as you coordinate all meetings to ensure efficient scheduling and prioritization of time, including daily management of 1:1s, team meetings, offsite meetings, customer/partner/investor/media/analyst meetings across global time zones
  • Support their communications with follow ups on discussions, decisions and tasks after 1:1s, meetings and workshops
  • Going up and above to organize travel plans as productive, effective and efficient as possible
  • Manage travel requirements ensuring appropriate documents are arranged
  • Act as a primary point of contact for internal and external stakeholders, effectively managing communication on behalf of the executives
  • Effectively interfacing with customers, partners, and team members on their behalf
  • Coordinate with other departments to execute team events, social gatherings, recognition gestures, and team, department and company offsites
  • Act as a culture shaper and play a community builder and host role within our Chemnitz HQ, taking care of arranging and hosting various onsite experiences and meetings involving internal team members and external guests

What you need to be successful

  • 2+ years of experience as an Executive Assistant
  • Clear English and German written and verbal communication skills, ability to communicate with all levels of leadership and across multiple offices and timezones
  • Trustworthy & dependable - you will have access to highly sensitive information where discretion is required
  • Ability to take late afternoon/evening calls as required to work effectively with our North American and Australian staff, investors and customers, any experience in working in cross-timezone environments is highly welcome
  • Highly motivated, organized individual with a strong attention to detail; you are able to work effectively and prioritize with minimal supervision
  • Strong multi-tasker with an appreciation for the challenges of supporting a growing team and working asynchronously in a hybrid environment
  • Strong relationship management skills, ability to build a personal network throughout the company and work with a variety of personalities
  • Bright, high-energy individual, with a passion to learn and contribute, strong adaptability in response to changing priorities and needs
