In this role, you will report into the Chief of Staff as part of the office of the CEO. 

Your coordination and responsibilities will be focused on the CEO. 

You should ideally be based in Chemnitz or open to commute to our Chemnitz Headquarters on a regular basis.

Your tasks:

  • Calendar management - coordinate all meetings to ensure efficient scheduling and prioritization of time, including but not limited to daily management of 1:1s, team meetings, offsite meetings, customer/partner/investor/media/analyst meetings across global time zones
  • Manage Quarterly Business Review (QBR) scheduling and Objective & Key Results (OKR) check-ins for Staffbase budget owners, with support and coordination from the Financial Planning & Analysis (FP&A) team
  • Effectively interfacing with investors, customers, partners, and team members on the CEO’s behalf
  • Conserve executive’s time by reading and routing email and instant messages, initiating meetings, and if applicable, drafting letters and documents
  • Ensure the Executive is prepared for upcoming meetings, presentations, and projects by gathering materials necessary
  • Lead and/or coordinate with other departments to execute things like team events, social gatherings, recognition gestures, and offsites
  • Work cross-functionally to ensure communication is efficient and clear between teams.
  • Book business related domestic and international travel, handling travel policies taking into account visas, costs, and proper documentation
  • Schedule and coordinate or Board of Directors and Senior Leadership meetings 
  • Working with the CEO office to maintain efficiency in scheduling and making tradeoffs and decisions on multiple priorities 
  • Prepare presentations, decks, agenda, reports, and other materials in support of CEO objectives

Your profile:

  • 3+ years of experience as an Executive Assistant for C-level Executives
  • Fluent German and English language skills
  • Ability to take late afternoon/evening calls 1-2 x per week to work effectively with North America’s PST timezone
  • Trustworthy & dependable - you will have access to highly sensitive information where discretion is required 
  • Highly motivated, organized individual with a strong attention to detail; you are able to work effectively and prioritize with minimal supervision
  • Clear written and verbal communication skills, ability to communicate with all levels of leadership and across multiple offices and timezones
  • Strong multi-tasker with an appreciation for the challenges of supporting a growing team and working asynchronously in a hybrid environment
  • Ability to prioritize and handle multiple assignments at any given time while anticipating the needs of others
  • Strong relationship management skills, ability to build a personal network throughout the company and work with a variety of personalities
  • Bright, high-energy individual, with a passion to learn and contribute
  • Adaptability in response to changing priorities and needs
  • Proficient using Google Suite, Slack and Apple products
  • Find new and efficient ways to help maximize your executives’ time, including weekly reporting, goal-tracking, and team meetings


Great to have:

  • Prior experience as the first EA for an executive
  • Experience in a fast-paced startup environment
  • Experience working with a team across multiple time zones
